Privacy policy

Solution Nextoora inc. (“Nextoora”) complies with Quebec’s Act respecting the protection of personal information in the private sector (as amended by Law 25). This policy explains what information we collect on nextoora.com, including through the Nextoora AI Assistant, our phone line and by e-mail, why we collect it, and how you can exercise your rights.
Person in charge of the protection of personal information
The President of Solution Nextoora inc. is responsible for the protection of personal information at Nextoora. For any question or request, write to them using the contact form and mention “Personal information” in your message.
Information collected by the AI assistant
The Nextoora AI Assistant is an artificial intelligence program, not a person. Before asking you about your business, it asks for your consent with the following text:
To prepare a useful consultation, I will ask you a few questions about your business and your project. With your consent, your answers and contact information will be sent to the Nextoora team so they can contact you about this request. Would you like to continue?
If you agree, we collect:
- your company name, your name, your position, your business e-mail, your phone number and the location of the business (city and province are enough for a home-based business);
- a description of your activities, clientele, team, tools, challenges and project;
- any optional information you choose to provide (approximate revenue, budget, other participants);
- your availability, time zone and preferred meeting format;
- the text of the conversation, the date and version of your consent, your IP address and browser type (for security and abuse prevention).
If you decline, the assistant can still answer general questions, but no record identifying you is saved. We never ask for patient data, banking information, passwords or confidential documents during this initial qualification.
Voice conversations
Voice mode uses your browser’s speech recognition and speech synthesis. Microphone access is only requested when you press the button to speak. Depending on your browser, transcription may be handled by its provider’s service (for example Apple or Google). Nextoora only receives the transcribed text: no audio recording is sent to or kept by Nextoora.
The agent opened from the home page banner (“Talk to the agent”) runs on the ElevenLabs service: your voice is processed by ElevenLabs to transcribe it and generate spoken replies. Nextoora keeps the written transcript of the call, not the audio recording.
Calls to our phone line
Calls to +1 236 904-0309 are answered by the Nextoora Agent, an artificial intelligence agent powered by ElevenLabs, not by a person. It answers in English or French, at any time of day. During the call, your voice and phone number are processed by ElevenLabs and its telephony provider to transcribe what you say and generate spoken replies.
The written transcript of the call (with the date, duration and calling number) is kept by Nextoora and sent to the team so they can follow up on your request. It is kept for 24 months, like calls made from the website, then deleted. Please do not share sensitive information (banking details, passwords, health data) during the call.
E-mails sent to info@nextoora.com
E-mails sent to info@nextoora.com are kept in Nextoora’s mailbox and forwarded to the authorized team so they can reply. They are used only to handle your request and are deleted once no longer needed, no later than 24 months after the last exchange, unless they relate to a contract.
Video virtual employee (avatar) and visitor recognition
When you talk to a video virtual employee (trial on the « Virtual employees » page, a demo or a monitor installed at a business), your voice is streamed live to LiveAvatar to be transcribed and to get the avatar’s answer. Nextoora keeps no audio or video recording; the written transcript and a short summary are kept for 24 months.
If you keep the « Only listen when I speak » option, your device’s camera follows the movement of your lips during the conversation so the microphone only opens while you speak. This runs entirely in your browser: no image or facial data is recorded, sent or kept.
Visitor recognition is optional and only happens with your express consent (checkbox before the conversation). Your device’s camera then computes, in your browser, a digital signature of your face (a series of 128 numbers, never a photo). This signature, your first name and the useful details of the conversation are kept for at most 12 months after your last visit, so the virtual employee can recognize you and greet you by name. You can withdraw your consent at any time: « Withdraw my consent and forget my face » button at the end of the conversation, or a request to the person in charge named above; your data is then deleted.
Interview with an AI employee (“AI interview” campaign)
On the “AI interview” page, you enter your company’s name, city and, if you wish, its website. A research of at most 2 minutes reads the official website (following its robots.txt file) and a few public sources to describe the company. This summary and its sources are kept for 12 months (and reused for 7 days for the same company).
During the interview of at most 3 minutes, you talk to an artificial intelligence agent shown as a fictional avatar, never to a person. Your voice is streamed live to LiveAvatar (video) or transcribed by your browser (voice and text) to produce the answers. Nextoora keeps no audio, video or transcript, unless you ask for a summary of your interview with a separate checkbox; the transcript is then kept for 12 months. We only keep technical data (role and candidate chosen, length, language, visit source, a hashed fingerprint of the IP address to prevent abuse).
Your contact details (name, job title, e-mail, optional phone) are only asked at the end, if you want a follow-up. The follow-up request and the consent to receive our communications are two separate checkboxes, never pre-ticked; you can unsubscribe at any time. Follow-up requests are kept for 24 months.
Use
This information is used only to prepare your free consultation, to contact you about your request and to propose a suitable solution. It is never sold or used for any other purpose without your consent.
Access and service providers
Only Nextoora’s authorized team can access the records, through a password-protected dashboard. To operate, the site relies on service providers that may process information outside Quebec, including in the United States:
- Netlify (website hosting and database);
- an artificial intelligence model provider, through Netlify AI Gateway, to generate the assistant’s replies;
- ElevenLabs and its telephony provider, for the banner’s voice and text agent and for the phone line;
- Nextoora’s e-mail provider;
- LiveAvatar (HeyGen), for the virtual employee’s live video and conversation;
- Twilio, to notify the team of a new request by text message.
These providers use the information only to deliver their services to Nextoora, with recognized security measures (encrypted communications, restricted access).
Retention and deletion
- A conversation that did not lead to a submitted request is deleted automatically 90 days after the last activity.
- A submitted request is kept for 24 months after its last update, then deleted, unless it leads to a contract (contract documents are then kept for the periods required by law).
- Face signatures of recognized visitors are deleted 12 months after their last visit, and transcripts of conversations with the virtual employee after 24 months.
- Transcripts of calls with the agent (on the website or by phone) are kept for 24 months, then deleted.
- AI interview: interviews, companies and research are deleted after 12 months, follow-up requests after 24 months.
- Your browser keeps a copy of the conversation for 30 days so you can pick it up again; the “New conversation” button erases it from the device.
Your rights
You may at any time request access to your information, its correction or deletion, or withdraw your consent by writing to the person in charge through the contact form. We reply within 30 days. You may also file a complaint with the Commission d’accès à l’information du Québec.
Cookies and local storage
The site uses your browser’s local storage to measure visits anonymously and to keep your conversation with the assistant on your device, as well as a cookie that remembers your language choice (English or French). No advertising cookies are used.
